grantmanager.ai
Coming Soon

One record for a grant, from first idea to final claim, for businesses, universities and research and technology organisations.

We built grantmanager.ai for our own grant work, and now we are opening it up to you, starting with a beta. It is an AI service for managing grant-supported work, with every claimed figure linked to its evidence, and it is still being built.

One record for
  • The plan
  • Your time
  • Your costs and receipts
  • Your claims
  • Your reports
  • Your results

Grant work runs through separate documents, trackers and portals. It should not have to.

What a bid promises usually has to be typed in again to be tracked, and evidence gets pieced together later. grantmanager.ai is designed so that one record carries the work through.

Type It Once

What you promised in the application becomes the plan you deliver and claim against, so it does not have to be keyed in again.

Every Figure Traced

Each line on a claim links back to the time entries, ledger lines and documents behind it.

Time As It Happens

Time is recorded when the work happens, then confirmed and approved, rather than rebuilt from memory at the end of the quarter.

Partners, Kept Private

Consortium partners share the project and the agreed totals, and each partner's salaries, rates and costs stay with that partner.

How It Is Designed To Work

Six stages, and one record through all of them.

What is agreed in one stage becomes the starting point for the next. It is built as a core with optional modules, so you can start with the part that gives you the most trouble and bring in a project at whatever stage it has reached.

Stage 1

Idea

Bring relevant funding calls into one place, and work out which are worth weeks of your time.

Stage 2

Application

Draft your answers from your own evidence, inside the funder's limits, which code checks exactly. A person checks everything, and a person sends it.

Stage 3

Award

Turn an offer letter into a dated list of what you have agreed to do, each item linked to its clause and confirmed by a person.

Stage 4

Delivery and Claims

Record your time as you work, keep each receipt with its cost, and build a claim from what is already on record.

Stage 5

Reporting

Write progress reports and meeting packs from what is on record, then check them and send them yourself.

Stage 6

Results

Plan outputs against what you committed to, draft for several channels with claims checked against their sources, and track open access.

The rules it is being built to.

Grant records have to stand up for years, and a funder's decision is never ours to promise. These principles hold whichever modules you use.

People Approve

Nothing goes to a funder, a partner or an auditor until a named person has approved it. AI never submits.

Code Computes

Totals, rates and limits come from deterministic code. AI may help with the wording and explain the figures, but it never does the arithmetic.

Evidence First

A cost claim traces to its time entries, ledger lines and documents. A statement of fact links to its source, or is marked as open.

Your Data Stays Yours

Each organisation's data is kept separate, and it is never used across customers or for training.

UK or EU

Each organisation is to choose where its data and AI processing live, and the service is designed to keep them there.

No Default Access

Digital Tactics also applies for grants, so its staff get only the time-limited, logged access a customer chooses to grant.

For the people who carry the grant.

For businesses, universities and RTOs, whether on their own or in a consortium, and for people new to grants as well as people who manage them every day.

Bid Leads

Writing an application, often alongside a day job, with limits to check, evidence to find and partners to coordinate.

Project Coordinators

Running work packages, risks and funder reporting across several organisations, without seeing partners' confidential costs.

Finance Contacts

Preparing a claim from their own accounting system, and wanting every figure to trace to its source.

Project Teams

Engineers and researchers whose time is charged to the grant, who want a quick record made at the time and confirmed once.

Frequently Asked Questions

Not yet. We built it for our own use and are opening it up to others, but it is still being built and has not had its general release. You can join the beta at grantmanager.ai, and we will contact you about it. Nothing on this page should be read as a feature you can use today.

No. AI never submits. The output is a document and text ready to copy, and a named person approves it and enters it in the funder's system.

We make no promises about that. No product can promise what a funder decides, so we do not quote success figures or stories, and no benefit has been measured yet.

Funder rules are held in versioned templates, starting with Innovate UK and ITEA, and any rule not yet verified is visibly marked. Naming them does not imply any endorsement by either.

Prices and packages have not been decided.

No. Your funder's rules, your offer letter and your own advisers stay the authority.
